Record the call basics first

Start with the information that identifies this specific conversation. This helps distinguish one call from another if you need to look back at your notes.

  • Date and time of the call
  • Phone number or department reached
  • Representative name, title, or department
  • Reference, confirmation, or call number
  • The general reason for the call

Write the response in plain, dated notes

Capture what the representative said about the administrative question you asked. Use short notes and preserve important wording, names, dates, and numbers. If the call does not resolve the question, note that clearly rather than filling in an answer from memory later.

End with one clear next step

Before you hang up, write down what happens next and who is expected to do it. If the representative names a date, deadline, document, or department, include it exactly as provided. You can also note any question that still needs an answer on a later call.
